1.       Chairmans Opening Speech – Pamela Goodwin

 

 

Introduction from Pamela – thanking all for attending, and outlining this years events which have been successful despite the recession.  Special thanks go to Lyndsey Regan for the Easter Hunt, Mrs Fisher and Mrs Collins for the Ugly Bug Ball Disco, The Art Auction ran by Katie Ridehalgh, and supported by Merowyn Yu and Rachel Tassell raised an amazing  £2,000.  Thanks to Penny Crisp for her continued support, and raising £1,000 at the Christmas Bazaar.  Thanks too for the newsletters produced by Selena.

 

The biggest disappointment was the cancellation of the Firework Display.  Jack Keeler is in contact with the farmer, and it was suggested that a meeting be held asap to ascertain the situation for this year.  Katherine Carleton is to negotiate with Jack to arrange a meeting.  Selena to send firework company information to Katherine.

 

 

After celebrating the Royal Wedding in 2011, the next royal occasion is the Golden Jubilee on 3 June 2012. This will be run jointly with the Parish Council, who are working with all local clubs and societies.  Please submit ideas for this occasion which should be focused on traditional themes.

 

 

A Triathalon will be held in May 2012 – over three weekends.    Penny Crisp is organising this event.  Further details to follow from Penny.  This event will be held to celebrate the Olympics.  It was suggested that the school should be in touch with Leeds Castle, where the Olympic Torch will be passed through.  Susan Hall and Georgina will try and look into the events at Leeds Castle, and obtain further information.

 

 

Another key event in 2012 will be the Auction of Promises on 20th October 2012.  This will be organised by Krisha Downer. 

 

 

 

 

 

 

An EGM (Extraordinary General Meeting) will be held to allow us to change the constitution for the PTFA.  21 days notice is given to change the constitution.  This needs to be placed on the school website.  Clare will place the documents on the PTFA noticeboard for parents to view.   Clare Giles will email Mr Peters with the new constitution on 12 January.  Selena Standen to include note of this in Newsletter.

 

 

2.       Outline of PTFA annual accounts by Clare Giles.

 

 

Clare Giles outlined this years fundraising events.  The PTFA raised a total of £6,135.15.  The main fundraisers were the Art Auction and the Christmas Bazaar.  It was agreed that the smaller events were still beneficial to run, as they were consistent earners.  The biggest financial loss was due to the cancellation of the fireworks display, which brought costs against us for transporting the fireworks back to the suppliers.

 

 The PTFA has spent £3236.06 on items for the school this year.  The major cost was for the swimming pool cover totalling £1488.00.  Other items purchased included the Anti-Bullying Leaflet, Clever Fingers Programme, Swimming Pool chemicals, Wildlife Workshop, Creative Week, and Year 6 leavers’ dictionaries.

 

Clare confirmed that she has changed the bank for the PTFA, as the former account cost the PTFA £10 per month.

 

 Mr Peters has made donations totalling £190.00 from monies he has received from his DJ bookings.  Thank you very much to Mr P for his consistent generosity.

 

Clare asked us to vote as to whether we could transfer £2,000 into our savings account.  This was agreed. 

 

Jack Keeler confirmed that Mr Holyroyd in Tattlebury Lane has donated £50 to the school following the loss of his wife.  Mrs Barker has written and thanked him.

 

Clare and her husband work at HSBC, who match fundraising work from their employees both Clare and her husband have raised a fantastic £660, as we are a registered charity.  Please check with your employer as to whether they offer this scheme.  SS to include in newsletter.

 

Clare Giles has asked Katherine Toovey who is a registered accountant to be our auditor.  The team voted her in.  Thanks to Clare for offering her support

PTFA  Minutes- Tuesday 15th November

Fireworks

 

Jack Keeler confirmed that the farmer, Mr Faulknall, was co-operative this year and has said that he will leave his field unplanted until after the fireworks next year. This is so we can use his field safely in 2012. The men who had been on the firework training withdrew this year due to safety.

 

We have refunded 130 tickets, but still have some unaccounted for.

 

The fireworks will cost at the most £160 to return. Clare Giles is liaising with the company.

 

Krisha Downer has made a plan of everything that needs doing to run the fireworks and will hand it over to next years’ sub-committee. This will include Pamela Goodwin and Viv Westrop.

 

We are considering looking for a new insurance policy for next year’s event. Another possibility was sponsorship as the fireworks are a village event. Selena Standen will speak to Boughton Monchelsea PTFA, as their fireworks event always makes a good profit.

 

Thank you Tony Nicola for printing all of the tickets and posters for the event.

 

Christmas Shopping Night- Friday 17th November

 

There will be 17-18 vendors attending the event. Selena Standen will help Clare Giles to set up at 6 o’clock on the night. All donations of desserts will be welcome. Posters have been posted throughout the village and adverts have been placed in the Wealden Advertiser and the Kent Messenger. Thank you Selena Standen for doing the posters.

 

Christmas Card Orders

 

The Christmas Cards have made £181.20. Thank you Viv Westrop for all your hard work.

 

Christmas Bazaar- 3rd December 2-4pm

 

We will have a bottle tombola, using the bottles from the own clothes day. Anna Kish and Katie George will ticket the bottles on Friday the 2nd.

 

Raffle tickets need to be sold outside Sainsbury’s on Saturday the 26th as well as on the morning of the Bazaar. All volunteers will be welcome. The top raffle prize will be £100. Krisha Downer will contact local firms to ask for more prizes.

 

Vicky Dervis will ask Gill if she will sell raffle tickets in the White Horse Pub.

 

Anna Kish will decorate Santa’s Grotto with Clare Giles on Friday afternoon after school. Jack Keeler also offered to help.

 

Katie George will place an advert in the Wealden Advertiser for the event.

 

Selena Standen, Viv Westrop and Georgina Collins will help set up in the morning.

 

Penny Crisp will send out a letter asking for volunteers to help at the bazaar.

 

Christmas Disco - Friday 16th December

 

A letter will be sent out to parents letting them know that only children who attend the school are allowed to the discos. The Key Stage 1 disco will run from 6-7 and KS2 will be held from 7.30 to 9 o’clock.

·        Merowyn Yu and Sarah Beecher have agreed to be Year R class reps.

 

·        Zumba Night- 20th January 8- 10.30 PM. Clare Giles has already received the alcohol licence.

 

·        Thank you Mr Peters for donating £50 he raised through a private disco.

 

·        It was agreed that we would pay £35.99 for a PTFA banner to display during events.

 

·        Auction of Promises- 20th October 2012. Krisha Downer has set up a website for donations. She has also created a donation form to send out later on.

 

·        PTFA will buy the Christmas Crackers for the Christmas dinner.

 

·        The Clothing Collection raised £144. Thank you Penny Krisp.

 

·        We will hold a triathlon next year. This will happen over three weekends, one weekend for each discipline- swimming, biking and walking. The dates will be 13th, 20th and 27th May, depending on the availability of the swimming pool.

 

 

Our next meeting will be an A.G.M. held on Wednesday 11th January at 8PM.
